Web application for care advice

As an independent subsidiary of the German Private Health Insurance Association (PKV-Verband), compass private pflegeberatung GmbH fulfills the care advice requirements of all privately insured persons – by telephone and on site at the insured person’s home. With almost 500 employed care advisors, compass private pflegeberatung GmbH provides the service basis for all questions and advice requirements relating to care.
The direct processing, scheduling and documentation of consultations and advisory services play a central role here. To support the care consultants in their daily work, compass’ own CKP system based on Microsoft Sharepoint 2010, Infopath and an MS SQL database was most recently in use.

The CKP was technically outdated, but also from a user experience and usability point of view. The CKP was thus analyzed and optimization points for future application were defined. These included faster storage of processes without redundancies, improved use of mobile devices in the consulting situation and support options during the consultation, such as an assessment. Due to the desired optimization fields, compass decided to replace the previous application and completely reprogram it. In future, care advisors should have an even more efficient and user-friendly system at their disposal for their work.

Together with HBSN, xitee supported and accompanied the customer compass throughout the entire project, from brainstorming for a user-friendly and intuitive application to the design of application scenarios and the elaboration of technical requirements through to the development of the new core application. The project was managed jointly by the PKV association/compass and the HBSN.

The aim of the project was to replace the previous application with a new and modern web and mobile application that would improve the user experience for users and make it more intuitive. The result is a browser-based application based on Java, Spring Boot, MS SQL and Docker.

This was implemented using hybrid project management with a combination of classic and agile approaches. The core application was divided into individual functions, which were specified together, taking into account the priority given by compass. This resulted in the content of the backlog for the work packages. Development was carried out in defined sprints with the aim of delivering an increment after each sprint.

The core application is a completely new development of customized software that has been specially tailored to the requirements and wishes of compass. It contains the complete documentation for the care consultation in accordance with § 7a SGB XI and the consultation visits in accordance with § 37 Paragraph 3 SGB XI.

The intuitive structure of the system guides care advisors as users through the entire process, from creating new clients in the basic data to making appointments and providing advice on site or over the phone. The versatile functions include comprehensive documentation, billing and invoice creation, sending faxes from the system and an associated document management system. Also integrated is the technical solution of a calendar function incl. synchronization with Outlook. An assessment was also integrated. Users are offered a user-friendly environment and interface in terms of layout and usability for working in the office (web application) and on the move (mobile). The access authorizations to the individual functionalities have been implemented with a detailed role and authorization concept.

The new development was realized in 15 months and launched “In Time” in September 2020. Further development of the core application to integrate additional functionalities is planned for 2022.
